Tips for Communicating With Team Members

Effective communication at work is all about picking the right message and tone for communication and listening to your employees. It might be necessary to create an overall communication strategy to lay out strategies for better communication throughout your company. Ultimately, the culture of the workplace is most reflected in its overall communication, and successful business hinges on efficient communication.

To improve communication at work, you need to make sure all of your team members understand who does what. Good communication skills are an asset to any manager. Having a good idea about how something works often leads to more efficient performance. One good idea might be to suggest the idea to one or two people on your team. Then observe how they handle it.

If you don't have enough face-to-face communication training at work, consider attending workshops that allow you to bring in other individuals from outside your organization to share information and gain perspective. Workshops are also a great way to encourage and improve communication skills by getting everyone together to learn from each other. Sometimes it's just a good idea to invite all of your team members to a workshop.

Another important way to improve communication at work, whether you attend training regularly or just take a workshop occasionally, is by having more active listening. In workshops, individuals who attend are given the chance to talk about problems, give their own observations, and ask questions. By having more active listening, you'll be able to gather more ideas and experiences that can be used in your own communicating.

During interactions in groups, you can also give positive feedback. Give constructive feedback, rather than simply "good job." Constructive feedback can be directed towards individual team members, or toward the team as a whole. Constructive feedback is more helpful because it acknowledges that there are ways that the team can improve, rather than giving a response that focuses only on the problem. Also, give positive feedback in small increments. For example, if a team member has done a particularly good job, you can give her a quick, sincere compliment, rather than a long drawn-out comment.

You should also use body language to communicate with your team members. When you are having a conversation with a person, remember to use eye contact, use the appropriate tone of voice, and touch your chin, not your hand. Touching your chin is actually telling the person in question that you are not interested in his/her personal expression. Be aware that your body language might not be in sync with the message that you are trying to convey. If you are frustrated with something, you can simply drop your gaze, raise your hands, or move away from the person.

In addition, another great way to communicate effectively at work is to make sure that you give positive feedback to team members who are doing a good job. For example, if you notice that a team member is frequently bringing issues forward that are not of importance to the company, you might consider having this person restricted to the break room for a period of time. This will ensure that the person is concentrating on the task at hand and that he/she will be more effective when communicating with others.

Effective communication is vital in every organization. However, one key to effective communication at work, in particular, is having a well-developed comprehensive communications plan. A comprehensive communications plan includes clearly defined goals and strategies for accomplishing those goals. Furthermore, it identifies the expected outcomes along with the procedures that will be required to achieve those outcomes. By developing an effective communication plan, you will be taking the first step to ensuring that all team members understand the value of the plan and how it will be utilized to best affect in the overall objectives of your company.
